It begins with capturing a set of detailed requirements, followed by identifying potential sites through feasibility studies that considers your proximity, infrastructure access, and regulatory compliance. Each site undergoes rigorous analysis, cost evaluation, and supplier engagement via a formal RFI and RFP processes. We help with supporting your team with the supplier selection and can provide as an optional service support for the contract negotiation, ensuring decisions are informed, cost-effective, and aligned with business goals, while mitigating risks and enhancing operational efficiency.Â
SERVICES
Our Site Selection, Procurement & Contract Negotiations service has been designed to guide you through the complex process of establishing or expanding Data Centre infrastructure services. With a structured methodology and customer-focused approach, we deliver a comprehensive suite of services that spans from initial requirement capture through to final contract negotiation. Each service component is tailored to ensure strategic alignment, cost efficiency, operational performance, and risk mitigation, empowering you to make informed decisions that support long-term business goals.Â
Stage 1 – Capture your Service RequirementsÂ
We begin by working closely with you to define scope and define your precise Data Centre needs (it’s no longer just a case of number of racks and a power draw estimate). We help scope the needs for today and the future, this includes assessing capacity requirements, power and cooling demands/methods, security protocols, local third-party service requirements, and connectivity expectations. By establishing a clear understanding of your operational and strategic goals, we can ensure that every subsequent step is tailored to meet your unique business objectives. We wrap this stage up with a Requirements document that we all agree meets the current and known future needs of the business.Â
Stage 2 – Identification of Potential SitesÂ
Using the defined set of requirements, we conduct a comprehensive Feasibility Study and Market Assessment to identify suitable locations, site and supplier options. This process evaluates critical factors such as proximity, access to reliable power and high-speed connectivity, availability of service providers, ability of the facility to meet your business needs, and compliance with key regulatory frameworks. The goal is to surface locations and suppliers that align with both technical needs and strategic positioning.Â
Site and Supplier AnalysisÂ
Each shortlisted site undergoes a rigorous analysis to determine its suitability. We examine infrastructure readiness, environmental conditions, scalability potential, and alignment with industry standards. This ensures that only the most viable options are considered for further evaluation, reducing risk and enhancing decision confidence. We provide a short report on the current findings and suitability to your business needs.Â
Evaluate CostsÂ
We facilitate and manage a formal Request for Proposal (RFP) process – this can be anonymous at this stage if required – to assess the total cost of services across potential providers. This includes upfront capital expenditure, ongoing operational costs, and any hidden charges. The cost evaluation is designed to provide transparency and help the selection team to make financially sound decisions that maximise value. We collect all of the Supplier submissions and develop an Analysis Report that maps all the Suppliers for service, suitability on a business needs and costs basis. Through a set of ranking criteria, we provide an early ranking of the suppliers.Â
Site Walkaround
We undertake a site walkaround of the facility (this can be with your team, or we can undertake it on your behalf (where you are unable to attend)) and will assess the facility and its suitability to your requirements. We follow up on all of the site visits with a final analysis report and we ask all attendees to submit their assessments and questions which we follow up with Suppliers. A final analysis report is created, and a set of ranked Suppliers is identified within the report. The outcomes are presented to the selection team with the outcome, the selection of a ‘Preferred Supplier’ and a ‘Reserved Supplier’. These two suppliers are the suppliers that we start the final negotiations with, tuning up commercials that will provide a final analysis and confirmation of award of contract.
Contract Negotiation
If required, we can support your contract negotiation by working alongside your procurement and legal team. The focus is on securing favourable service terms while avoiding unnecessary legal complexity. This service ensures that the final agreement reflects your priorities and protects your interests.Â
OUTCOMES
We provide you with a comprehensive analysis report showing the process undertaken and the outcomes of each stage of the Procurement Process. The report ensures that there is accountability for the process and supports audit and regulatory requirements.Â
